Invoices
Invoicing is fully integrated into the delivery workflow. Invoices can be built from released business events or be auto-generated from contract schedules. Complete reviews can be run at division and account level to understand the precise state of un-invoices obligations by business owner.
Multiple tax rules are supported at invoice line level, document customisation allows for specific long footer text, division level branding and auto-addressing.
Orders
Quotes are converted to orders once the client has signed and accepted the terms. Orders pass through a staged workflow that involves quality checking and responsibility enrichment, no data is re-keyed, the completed order is fully traceable back to the quote.
All order items have the ability to model support conditions as related but independent business objects with their own processing cycle. Orders can also incorporate bought in components and supplier contract relationships. This back-to-back functionality makes gross margin analysis simple leading to accurate sales commissions
Contracts
Contract modelling supports all term related elements, provides for changes throughout the contract period, contract renewals and indexation rules.
Both support, volume-based and on-demand price elements are supported together with termination rules, invoicing periods and original license term definitions. The contract data modelling allows forward cash-flow reporting and forward termination event notifications to help you improve your client interactivity and provide complete clarity on the support book.
A versionable on-line document store removes the need for contract files.
Quotes
Full support is provided for on-line quoting of either simple or complex orders. Quotes can take place against the standard price list, a client specific price list or as a bespoke item not available on the price list. Quotes will automatically be raised in the currency of the client’s jurisdiction.
Quotes may be raised directly or as conversions from a prospect record. Quoting involves adding items from the price list for the client’s jurisdiction, specifying quantities and applicable discounts. In this way, a rich quote is developed with complex contractual behaviours included but without the sales person needing to specify all these elements.
Quotes may be versioned to record the complete negotiation history.
Clients
Comprehensive support is provided for modelling clients and the key business attributes required to transact and report on business. Clients are modelled in jurisdictions enabling jurisdictional pricing to be applied seamlessly. CRM features include lead and prospect management, call reports and follow-up actions, pipeline analysis, unlimited contact and addresses, industry classifications etc.
Clients may be acquired as favourites, enabling rapid search for those accounts of interest. The client page supports a complete file of all client activity, versionable documents, outstanding quotes, invoices, maintenance schedules, in fact everything needed to brief and understand the client relationship.
Delivery
Confirmed orders flow through to operations functions for delivery. If the delivery includes elements of time tracking, the order is attached to a project and a time budget may be developed including both billable and non-billable elements. Budgets may be split by task and sub-task for detailed project control and analysis.
Integrated time booking and on-line expenses make the process of recording actual expenditure a seamless and straightforward activity. Within a few minutes of the order agreement, people can start recording time against the order. Delivery control includes optional hourly or daily rate structures, again with no re-keying of data. Hourly to daily time conversion rules may be specified at the project level.
